TITLE: Full Time—Programs and Inventory Coordinator

REPORTS TO: Programs and Inventory Manager and USEA Director of Programs and Marketing

STATUS: Non-Exempt

TYPE: Hybrid—2-3 days per week required in the USEA office in Leesburg, Virginia.

Position Summary: This position supports the current USEA Programs and Inventory Manager. This position holds independent responsibilities with the USEA merchandise department as well as distribution of the frangible technology program and additionally supports the USEA Director of Competitions and USEA Director of Programs and Marketing. Duties include the administration of programs and working directly with organizers, responsibility for program mailings to event organizers, collecting event data and scores, inputting scores from various USEA programs, supporting the USEA Annual Meeting, coordinating the year-end awards, coordinating trophy and ribbon orders for all USEA programs/championships, coordinating the USEA merchandise and inventory, coordinating the USEA frangible technology distribution program, answering membership and customer service calls, and more.

This staff member should be willing to travel within the continental United States a few times a year (example: LRK3DE, AEC, Convention, MD5*). Employee will report to the USEA headquarters in Leesburg, Virginia, during normal business hours, 2-3 days per week, and may work remotely the other days.

Key Principles:

The USEA is looking for a highly motivated individual who is able to deliver high quality work and execute under pressure/deadlines. The individual should possess strong organizational, problem solving, and effective communication (both written and verbal) skills. Applicants who are extremely detail oriented with experience in inventory coordination or management are preferred. The individual would ideally have knowledge of the sport of eventing.

GENERAL RESPONSIBILITIES:

    USEA Inventory and Merchandise

    • Fulfill daily ShopUSEA orders
    • Manage ShopUSEA website
    • Reports and manages inventory numbers from ShopUSEA to Accounting Department monthly, and conducts more thorough inventory review twice per year
    • Communicate with vendors regarding merchandise
    • Work with USEA Corporate Sponsors who provide merchandise
    • Manage and order merchandise and arrange for embroidery and all shipping or pickups
    • Management of merchandise vendor booth at sponsored events
    • USEA Programs

    • Coordinate all program mailings to various events year-round (including prizes, banners, scoresheets, etc.)
    • Follow up with organizers for post-event reports and scores/scoresheets
    • Process all results from Young Event Horse (YEH) and New Event Horse (NEH) competitions, and any other relevant USEA programs
    • Collect and input breeding data for YEH competitors
    • Check member eligibility for various programs
    • Manage ribbon/trophy orders for various USEA events and championships
    • Provide on-site support at USEA educational seminars and symposiums
    • Prepare printed materials for programs or symposiums when necessary
    • Manage program leaderboards and overall results such as FEH/YEH and keep them updated on www.useventing.com

    • USEA Foundation Frangible Technology Grant Program

    • Manage and coordinate International orders/shipments of hardware
    • Process/organize grant applications and work with accounting department for processing
    • Distribute hardware and grant funding
    • Communicate with USEA organizers regarding frangible hardware

    USEA General

    • Customer service responsibility at USEA Convention, Land Rover Kentucky Three-Day Event, AEC, Maryland 5*, and potentially at additional events or functions
    • Help answer phone calls at USEA office 9:00 a.m.-5:00 p.m.
    • Help process memberships, when necessary
    • Communicate with USEA Awards Committee regarding appreciation award recipient selections
    • Manage trophy inventory for National Year End Awards and the American Eventing Championships (AEC)
    • Manage ribbon and trophy orders for all USEA programs and championships
    • Assist the Competitions Department when necessary
    • Other duties as assigned. This is a “jack of all trades” position

    COMPENSATION AND BENEFITS

    Salary (market rate) + benefits (Health, Dental, STD, LTD and Life, 401K, 11 paid holidays, 15 vacation/sick leave days). USEA advertised office hours are from 9:00 a.m. to 5:00 p.m. Eastern Time, Monday through Friday. Some weekend travel and work. Hybrid model will be considered for the right candidate.

    The United States Eventing Association is the national organization dedicated to the education and development of horses and riders in the equestrian sport of three-day eventing. The USEA was founded in 1959 and has approximately 13,000 members in all 50 United States in addition to over 100 international members. The USEA recognizes around 250 competitions nationwide. The organization is a non-profit 501 C (3) corporation directed by a Board of Governors with day to day operations run by a small permanent staff from the headquarters in Leesburg, Virginia.
